Privacy Policy

RacquetIQ is coaching-operations software provided by Tennis Beast LLC. Racquet-sports clubs (each a "club") use RacquetIQ to run scheduling, rosters, messaging, and payments for their members. This policy explains what information we collect, how we use it, and the choices you have. In plain words: we collect only what is needed to run your club, we do not sell personal information, we do not track you across other websites, and information about a child is handled with a parent or guardian involved.
Who we are, and who controls your data
RacquetIQ is operated by Tennis Beast LLC ("RacquetIQ," "we," "us"). When you use RacquetIQ as a member of a club, the club decides what member information is collected and how it is used to run its programs — the club is the controller of that information, and RacquetIQ processes it on the club's behalf. When you deal with us directly — for example a club owner who buys a subscription, or anyone who contacts us about their data — we are the controller. For questions about a specific club's use of your data, contact that club directly; you can also reach us at the address at the end of this policy.
Who this policy covers
This policy covers everyone whose information moves through RacquetIQ: club owners and their staff and coaches, parents and guardians, adult players, and the junior athletes a club coaches. It is worth saying plainly at the top, because it shapes everything below: children do not hold RacquetIQ accounts. Only an adult can create or sign in to an account. A junior athlete exists in RacquetIQ as roster information entered by their parent or guardian or by their club — not as a login, and not as someone we collect information from directly.
Information we collect
We collect the following, depending on how you use RacquetIQ:
- Account information — name, email address, phone number, and a password or sign-in method (for example a magic link or Google sign-in).
- Roster and program information — the classes, lessons, and programs you or your child are enrolled in, attendance, scheduling, and coaching notes your club records.
- Player information — for a junior athlete, a date of birth (used to determine age and to protect children — see "Children's privacy"), plus performance and progress information your club chooses to track.
- Messaging information — messages exchanged through RacquetIQ between a club and its members, and your consent choices for email and text messaging.
- Payment information — for bookings, we record what was booked and whether payment is pending or confirmed. For a club's own subscription we record the plan, billing period, and payment status. Card details are handled by our payment processor (Stripe) or by your club's own payment system; RacquetIQ does not store full card numbers.
- Usage and device information — basic technical data (such as device type, app version, and error logs) needed to operate, secure, and improve the service.
Where does it come from? Most of it comes from you, when you create an account, book, message, or update your details. The rest comes from your club, which enters and maintains its own roster — this is how information about a junior athlete reaches us. A small amount is generated automatically by your device when you use the service. We do not buy personal information from data brokers, and we do not build profiles of you from activity on other companies' websites.
How we use information
We use information to:
- Run your club's coaching operations — scheduling, rosters, attendance, bookings, and payments.
- Send you messages you have asked for or that are needed to run your enrollment (for example a booking confirmation or a schedule change).
- Send marketing or promotional messages only where you have opted in, and only through the channel you opted into (see "Text messaging" and "Your choices").
- Draft replies and suggestions for your club's staff to review before anything is sent (see "How AI assistance works").
- Bill a club for its subscription and keep account records.
- Keep the service secure, prevent abuse, comply with the law, and improve how RacquetIQ works.
We do not use personal information to train advertising models, to score you for anyone outside your club, or for any purpose that is incompatible with running the coaching relationship you signed up for.
How AI assistance works
RacquetIQ includes an assistant, Rally, that helps a club's front desk keep up with its messages. It is worth being precise about what that means for your information, because "AI" is where most privacy policies go vague.
- Rally drafts; a person sends. Rally proposes a reply for a club's staff to read, edit, and approve. It does not send messages, take payments, or make decisions about a booking on its own.
- To draft a reply, the relevant part of the conversation is sent to an AI provider that processes it for us under contract and returns suggested text. Our providers are named in "How we share information."
- For athlete-performance suggestions, a minor's identity is removed before anything is sent — the assistant receives the performance numbers with a neutral label, never the child's name.
- Our primary AI provider processes this content only to return the suggested text, under terms that do not permit it to train its models on your information.
- Rally is a drafting aid, not a professional adviser, and it can be wrong. Your club is responsible for what it actually sends.
Children's privacy (COPPA)
RacquetIQ is used by families with junior athletes, so children's privacy is designed in rather than bolted on. RacquetIQ is not directed to children as users and we do not collect personal information online directly from a child. A child cannot create a RacquetIQ account or sign in to one: our age check routes anyone under 18 away from account creation, and a junior athlete exists in the system only as roster information maintained by their parent or guardian or by their club.
What we hold about a child, and why: their name, their date of birth (to determine age and apply the protections on this page), the classes and lessons they are enrolled in, attendance, and any coaching or progress notes their club records. We ask for no more than a club needs to run its programs and keep a player safe, and participation in a program is never conditioned on providing more information about a child than is reasonably necessary for that program.
How a child's information is shared: with the club coaching that child, with the child's parent or guardian, and with the service providers listed in "How we share information" who operate the platform for us under contract. That is the whole list. We do not sell children's personal information, we do not use it for advertising, we do not disclose it to third parties for their own purposes, and children are excluded from every marketing audience — no child is ever sent a promotional message.
Guardian visibility is the default: a parent or guardian can see the sessions and the messages that involve their child. There is no private, unmonitored channel between a coach and a minor.
A parent or guardian may, at any time, review the personal information we hold about their child, ask us to correct or delete it, refuse to permit any further collection or use of it, and withdraw consent — by contacting their club or us at the address below. Refusing further collection may mean a child can no longer be enrolled in a program that depends on it, and we will tell you if that is the case rather than quietly degrading the service.
Text messaging (SMS)
If you opt in to text messages, your club may send you SMS messages through RacquetIQ — such as booking confirmations, schedule updates, reminders, and, where you have separately opted in, occasional promotional messages. Message frequency varies. Message and data rates may apply.
You can opt out at any time — reply STOP to any message; you will receive one confirmation that you have been unsubscribed, and no further texts unless you opt in again. Reply HELP for help, or contact us at the address below. Carriers are not liable for delayed or undelivered messages.
We do not sell or share mobile phone numbers or SMS opt-in information with third parties or affiliates for their own marketing purposes. Your consent to text messaging is used only to send you the messages described here.
Your choices and rights
You can update your account information, manage your email and text-message preferences, and opt out of marketing at any time. You can also ask us to:
- Tell you what personal information we hold about you and how it is used.
- Correct information that is wrong.
- Give you a copy of your information in a portable format — RacquetIQ has a built-in export you can run yourself, without asking us.
- Delete your account and your personal information — also built in, from your account settings.
- Stop using your information for a purpose you object to, including any further collection about your child.
To make a request, use the tools in your account settings, or email us at the address below. We will verify who you are before acting on a request — usually by confirming control of the email address or phone number on the account — because handing someone else's data to the wrong person is the worst outcome available to us. We do not charge for this, and we do not treat you differently for asking.
California privacy rights (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act as amended by the CPRA gives you specific rights. This section states how they apply here.
Categories of personal information we have collected in the past 12 months: identifiers (name, email address, phone number, account identifiers); customer records (billing and payment status); commercial information (bookings, enrollments, and purchases); internet or network activity (basic app and device usage needed to operate and secure the service); and, for junior athletes, a date of birth. We collect these from you, from your club, and automatically from your device, and we use them for the purposes listed in "How we use information." The categories of third parties we disclose them to for a business purpose are the service providers named in "How we share information."
Sensitive personal information: the only category we handle that may qualify is account sign-in credentials, which we use solely to log you in and secure your account. We do not use or disclose sensitive personal information to infer characteristics about you, and we do not use it for any purpose beyond providing the service, so the right to limit its use does not restrict anything we actually do.
We do not sell personal information, and we do not share it for cross-context behavioral advertising, as those terms are defined by the CCPA. We have not done either in the preceding 12 months. We also do not sell or share the personal information of anyone under 16 — a category that, given how RacquetIQ works, includes every junior athlete on a club's roster.
Your rights are to know, to access a portable copy, to correct, to delete, to limit the use of sensitive personal information, to opt out of sale or sharing (there is nothing to opt out of), and not to be discriminated against for exercising any of them. Exercise them through your account settings or by emailing us at the address below. We will confirm receipt within 10 business days and respond within 45 days, extendable once by a further 45 days if we tell you why. You may use an authorized agent, in which case we will ask for proof that you gave them permission.
Other US state privacy rights
Residents of other US states with comprehensive privacy laws — including Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, Delaware, Iowa, Nebraska, New Hampshire, New Jersey, and Maryland — have broadly the same rights described above: to confirm whether we process your personal data, to access and obtain a copy of it, to correct it, to delete it, and to opt out of targeted advertising, sale, or profiling that produces legal or similarly significant effects. We do none of those three things, so those opt-outs restrict nothing we do. We do not process personal data for targeted advertising or sale, and we do not use it for automated decisions that have a legal or similarly significant effect on you.
Where your state's law treats a known child's data or other categories as sensitive and requires consent, we rely on the consent of the parent or guardian who enrolls the child, and we use that data only to run the club's programs.
If we decline a request, we will tell you why, and you may appeal by replying to that decision or emailing us with the word "Appeal" in the subject line. A different person will review the appeal and respond within 45 days with a written explanation. If we deny the appeal, we will tell you how to contact your state attorney general to complain.
Data retention and security
We keep personal information for as long as needed to provide the service to you and your club, and as required to meet legal, accounting, or reporting obligations. Concretely: account and roster information is kept while the account is active; when you delete your account, we delete or de-identify your personal information other than the records we are required to keep, such as transaction records needed for tax and accounting. Message and booking history is kept for the club's operating records for as long as the club remains a customer.
We use technical and organizational safeguards designed to protect personal information: role-based access controls that limit staff access to what their job requires, per-club scoping so that a request for data is answered only for the club it belongs to, encryption in transit, and encryption at rest by our hosting provider. Payment card details never touch our systems. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and your club as required by law, without unreasonable delay.
Where we operate
RacquetIQ is operated from the United States and information is processed and stored in the United States. The service is offered to clubs and their members in the United States; it is not directed to individuals in the European Economic Area or the United Kingdom. If you use RacquetIQ from outside the United States, you understand that your information will be processed in the United States, where privacy laws may differ from those in your own country.
Changes and how to contact us
We may update this policy as the service or the law changes. The current version will always be posted here with the date it was last updated, at the top of this page. If a change materially affects how we use information you have already given us, we will tell you before it takes effect — by email or in the app — rather than relying on you to re-read this page.
